We are seeking a dynamic and organized individual to join our team as a Customer Service and Client Relations Associate. The ideal candidate will excel in providing exceptional customer service, handling inquiries, resolving issues, and maintaining professional relationships with clients. This role requires strong communication skills, attention to detail, and the ability to manage multiple tasks efficiently.

Key Responsibilities:

  • Respond to customer and client inquiries promptly and professionally, ensuring accurate information is provided.
  • Address and resolve customer, visitor, and client issues or complaints in a courteous and timely manner.
  • Schedule and manage appointments, maintaining an organized and up-to-date appointment calendar.
  • Draft and prepare business correspondence such as emails, letters, and memos.
  • Guide clients to the appropriate department or resource, facilitating a seamless experience.
  • Discuss and explain service information clearly to customers and clients, ensuring understanding.
  • Collect and accurately record required data and documentation from clients.
  • Distribute necessary information, materials, and documentation to customers, clients, and colleagues as needed.
  • File and maintain electronic records systematically, ensuring accessibility and confidentiality.
  • Proofread documents, records, and correspondence to ensure accuracy and completeness.
  • Prepare routine reports as required by management.
  • Manage all incoming and outgoing email correspondence efficiently, prioritizing and responding as necessary.

Qualifications:

  • High school diploma or equivalent; associate or bachelor’s degree preferred.
  • Proven experience in customer service or client relations role is advantageous.
  • Excellent verbal and written communication skills in English.
  • Strong organizational and time management abilities.
  • Proficiency in MS Office (Word, Excel, Outlook) and experience with CRM software preferred.
  • Ability to work independently and collaboratively in a team environment.
  • Attention to detail and accuracy in data entry and documentation.
  • Professional demeanor and strong interpersonal skills.
